If you run a PG or hostel, you already know the awkward part of the job isn’t cleaning or maintenance — it’s the rent message. You don’t want to nag. The tenant is often a student or a young professional living away from home for the first time. And yet, every month, a few beds quietly slip into “I’ll pay next week” territory, and that “next week” is exactly where your rent starts leaking.

The 3-day pre-due reminder (your highest-impact message)
If you send only one reminder, send this one. A nudge that lands three days before the due date does something an overdue message can never do: it reaches the tenant while they still have the money. Most young tenants aren’t avoiding rent — they simply forget, or their salary/pocket-money timing slips. Remind them before the deadline and you’re a helpful landlord. Remind them after, and you’re a collector chasing a debt. Same person, completely different conversation.
Pre-due reminders also avoid the partial-payment spiral — the tenant who blows the deadline, then spends, then can only pay half. Catch them early and they pay in full.
The due-day reminder
On the due date itself, send a short confirmation-style nudge. Keep it neutral and assume the best — many tenants genuinely meant to pay and lost the day to work or class. The job here is to make paying frictionless: state the amount, the date, and put the pay link right there so they can clear it in one tap without leaving the chat.
Gentle overdue (D1–D3)
One to three days late is not a crisis — it’s the most common situation, and it deserves the most patience. Resist the urge to escalate. A calm message that simply notes the rent is pending, with the link attached, clears the majority of these without any friction. Add a soft offer to help (“let me know if there’s an issue”) — it gives a genuinely stuck tenant a way to talk to you instead of going silent.

Firm overdue (D7) — still respectful
A week overdue is where you become firmer — but firm is not the same as threatening. State the facts plainly: the amount, how long it’s been pending, and a clear request to pay by a specific date. Keep it professional and short. If the agreement mentions a late fee, this is the place to reference it factually — not as a threat, just as the terms both of you already agreed to. Threats and capitals (“PAY NOW”) don’t collect faster; they just make the tenant defensive and more likely to go quiet.
For a young tenant, a parent is often the emergency contact. If you’ve genuinely had no response and the agreement allows it, looping in the guardian is a legitimate next step — but do it as a polite, factual heads-up, never as a public shaming. Keep the dignity intact; you want this tenant to stay and renew.
Payment-received confirmation / receipt message
Don’t skip this one. The moment money lands, send a confirmation. It does two jobs: it closes the loop so the tenant has proof, and it sets the tone for next month — paying on time gets acknowledged, not ignored. A receipt that names the amount, the month, and a reference number also kills the “but I already paid” dispute before it starts.

Partial-payment acknowledgement (show the running balance)
Partial payments are reality in PG life — salary delays, a tenant who pays half now and half on the 10th. The mistake owners make is not recording it clearly, then losing track of who owes what. The fix is one message that always states three numbers: what was received, what’s still pending, and the new date you expect the rest. Tone: a quick do / don’t
Every template above follows the same handful of rules. Steal them for any message you write yourself:
Do:
- Use their name. “Hi Rohan” lands; “Dear Tenant” feels like a notice.
- State the exact amount and due date. No “your rent” — say
[₹ amount]for[month], due[due date]. - Attach a pay link. Friction is the enemy. One tap to pay beats “send to my UPI” every time.
- Keep it short. Two or three lines. A wall of text gets ignored.
- Stay warm — even when firm. Offer a way to talk if they’re stuck.
Don’t:
- Don’t threaten or use ALL CAPS. It rarely speeds payment and it poisons the relationship.
- Don’t shame publicly — never in a shared group, never to other tenants.
- Don’t send a vague “rent due hai”. Missing amount, date, and link means a missing payment.
- Don’t wait until day 10 to start. By then it’s collection, not a reminder.
